Animal Care Database.

I wrote this database to help me with 2 things. I wanted to be able to keep animal records in an easy to search, easy to enter manner, as well as be able to keep information that was pertinent to keeping certain animals. Because of how large my personal database is, I have deleted all the information and just provided a blank database. This database requires Microsoft Access and is provided for Access 97, 2000, and XP. As this is something I wrote to help me, please feel free to alter it to suit your needs. I will describe each section below. This is freeware, distribute freely.

Animal Record Database Manual

 

This Database was written so I could track all my animals, clutches, and care information. It is broken down into 10 sections. For information to cross between the forms, you will need to have all the information in Animal Care (Caresheets) for the particular animals you are keeping. The weather data is already included in this database, however the calendar information is not complete other than for Costa Rica (as an example). To make this database even more useful, try to have all the information entered for Animal Care, Fish Care, Water Plants, Plant Care, and Enclosure Articles.

Upon double clicking on the egglog.mde, you well be presented with an opening screen. To go to a section, click on any of the buttons.

 

Animal Care:

 

This section of the database is for storing your caresheets, or information for caring for your animals. Click the Animal Care.

 

You will first be presented with a list of caresheets.

To enter a new record, click on the empty line. To enter an existing caresheet, click on an existing line. For example; Test Common Name. The Care Sheet will open.

 

It contains the fields:

 

  • Subject - This is the primary key for this sheet. There can not be 2 identical subjects within Animal Caresheets
  • Common Name - This is where you would type the animals common name (i.e. Leopard Gecko) (this is used in other forms. Make sure to type it as you desire it used in other forms)
  • Scientific Name – This is where you would type the animals Scientific Name (i.e. Eublepharis macularius)
  • Country – This is a drop down list, that pulls from the Weather section. Select the country the animal is from. (this is a link to another form, you must select from the drop down)
  • Date – Date of the article
  • Location – This is a drop down list that pulls from the Weather section. Select the nearest city. (this is a link to another form, you must select from the drop down)
  • Region – This is a drop down list that pulls from the Weather section. Select the region of the world the animal comes from. (this is a link to another form, you must select from the drop down)
  • Animal Type – This is a drop down list that pulls from a master list. Select the type of animal. (this is a link to another form, you must select from the drop down)
  • Environment – This is a drop down list that pulls from a master list. Select the type of environment the animal lives in. (this is a link to another form, you must select from the drop down)
  • Activity Period – This is a drop down list that pulls from a master list. Select the activity period
  • Temperature – Type in the temperature information you should keep the animal in.
  • Humidity – Type in the humidity information you should keep the animal in.
  • Gestation Period – Type in the amount of days the animal gestates.
  • Incubation Period – Type in the amount of days the eggs incubate.
  • Incubation Temp – Type in the incubation Temperature.

 

The next section of this form is a tabbed section:

 

It contains the fields:

 

  • Natural History - Type in the natural history information of the animal
  • Biology - Type in the biology information of the animal
  • Care – Type in the care information of the animal. (This is a linked field, it is used to populate the care information of the Animal Records section of the database.)
  • Breeding – Type in the breeding information of the animal.
  • Incubation – Type in the incubation information of the animal (This is a linked field, it is used to populate the incubation information of the Clutch Records section of the database)
  • Rearing – Type in the rearing information for the animal.
  • Illnesses – Type in the illnesses information for the animal.

 

The next section of this form is for Images. There are 6 larger fields, and 6 smaller fields. The 6 larger fields are for the images. Right click the field and select insert object. The 6 smaller fields are for text captions. Just type in them.

 

The header of this form contains some buttons that perform various actions.

 

These buttons are:

 

  • Regional Weather – This will present you with a list of weather records from the weather section of this database. It will filter according to the region you selected in the region field of this form. To enter a record within the weather list, just click the line.
  • Country Weather - This will present you with a list of weather records from the weather section of this database. It will filter according to the country you selected in the country field of this form. To enter a record within the weather list, just click the line.
  • Enclosure Enviro – This will present you with a list of enclosure articles within the enclosure articles section of this database. It will filter according to the environment you selected in the environment field of this form. To enter a record within the enclosure articles list, just click the line.
  • Clutches – This will present you with a list of clutches from the clutch record section of this database. It will filter according to the common name you typed in the common name field of this form. To enter a record within the clutch record list, just click the line.
  • Animals – This will present you with a list of animals from the animal record section of this database. It will filter according to the common name you typed in the common name field of this form. To enter a record within the animal record list, just click the line.
  • Enclosures – This will present you with a list of enclosures from the enclosure record section of this database. It will filter according to the environment you selected in the environment field of this form. To enter a record within the enclosure articles list, just click the line
  • Books – This will present you with a list of books from the library section of this database. It will filter according to the common name you typed in the common name field of this form. To enter a record within the library list, just click the line.
  • Print Article – This will present you with a preview of the print out of the particular caresheet you are in. It will look like this:

Clutch Records:

 

This section of the database is used to keep the information on the incubation of your egg clutches.

 

Click the Clutch Records button to enter. You will first be presented with a list of clutch records.

 

To create a new record, click the empty line. To enter an existing record, click the line (i.e. 3 Test Common Name 1/1/2001), the record will open.

 

You will see a handful of fields and 2 subfields. The fields are:

 

  • Clutch number – this is an auto populated field, it will populate when you type in another field.
  • Date laid – type in the date the egg clutch was laid.
  • Date expected – type in the date you expect the eggs to hatch.
  • Amount of clutch – type in the amount of eggs in the clutch.
  • Common Name – this is a drop down list, populated from the common name field of the animal caresheets form. Select the common name of the animal that laid the clutch. This is linked to the subform that populates with the animals specifics below.
  • Parents Encl – This is a drop down list, populated from the enclosure record section of this database. Select the enclosure the parents were from. This will help you do long term tracking of care.
  • Father – This is a drop down list, populated from the animal record section of this database. Select the animal that is the father. This will help you do long term tracking of care.
  • Mother – This is a drop down list, populated from the animal record section of this database. Select the animal that is the mother. This will help you do long term tracking of care.
  • Days Incubated – This is a calculated field, do not type in this field. It is calculated by taking the first date in the temperature section, and subtracting the last date in the temperature section. It will give you the total days of incubation.
  • # of Samples – This is a calculated field, do not type in this field. It is calculated by adding the amount of temperature entries in the temperature section. It will give you the total of temperature samples taken for this egg clutch.
  • Avg – This is a calculated field, do not type in this field. It is calculated by averaging all the temperature samples in the temperature section. It will give you the average of temperature over the duration of incubation.
  • Max – This is a calculated field, do not type in this field. It is calculated by displaying the highest temperature value in the temperature section.
  • Min – This is a calculated field, do not type in this field. It is calculated by displaying the lowest temperature value in the temperature section.

 

The first subform is the temperature section.

 

 

  • Date – Type the date of the temperature sample.
  • Time – Type the time of the temperature sample
  • Temp F – Type the temperature.
  • Notes – Type in any notes at the time the sample was taken.
  • Picture – You may include any pictures of the clutch you wish, right click the field, and select “insert object.”

To create a new entry click the arrow with the *. To go through the entries, click the forward or backward arrow.

 

The second subform is the information about the animal by common name. This populates by linking the common name in the field of this section, and the common name field in the animal caresheet section of this database. Do not type in this section

The fields are:

 

  • Scientific name – This is the animals scientific name.
  • Animal Type – This is the animal type.
  • Location – This is the nearest city to the animals location
  • Environment – This is the type of environment the animal lives in.
  • Country – This is the country the animal lives in
  • Region – This is the region of the world the animal lives in
  • Incubation Temp – This is the temperature to incubate eggs in
  • Incubation Period - This is the amount of days the eggs incubate.
  • Incubation – This is the incubation instructions you entered for the animal in the animal caresheet.

 

Buttons at the top of this form:

 

  • Parents Enclosure – This will open the enclosure record for the enclosure you selected in the Parents Encl. field of this form.
  • Father – This will open the animal record for the animal you selected in the Father field of this form.
  • Mother – This will open the animal record for the animal you selected in the mother field of this form.
  • Print Summary – This will print preview the summary report for all egg clutches. To print, hit ctrl+p.
  • Print Record – This will print preview this record.

Buttons at the bottom of this form (within the subform).

 

  • Animal Articles – This will present you with a list of animal caresheets with the same common name in this record. To enter a record, just click the line.
  • Enclosure Articles – This will present you with a list of enclosure articles with the same environment field in this record. To enter a record, just click the line.
  • Animals – This will present you with a list of animal records with the same common name as the common name field of this record. To enter a record, just click the line.
  • Weather – This will present you with a list of weather records with the same country as the country field of this record. To enter a record, just click the line.
  • Books – This will present you with a list of books from your library with the same subject as the common name field of this record. To enter a record, just click the line.

Animal Records:

 

This section of the database is used to keep the information on the keeping of your current animals.

 

Click the clutch records button to enter. You will first be presented with a list of animal records.

 

To create a new record, click the empty line. To enter an existing record, click the line (i.e. test name, test common name, 10-10-2002), the record will open.

 

 

You will be presented with a handful of fields and 2 subforms. The fields are:

  • Id number – This is autopopulated. It will populate when you fill in another field. This number will be used to identify your animal.
  • Date of Acquisition – This is the date you acquired your animal.
  • Current – This is used to indicate that you currently have the animal.
  • Name – This is the name you call your animal (George, Sam, Bob, etc)
  • Clutch Number – This is a drop down list populated by the clutch number you have entered in the clutch record section of this database. Select the clutch this animal came from, if you hatched it. If not, leave blank.
  • Common Name – This is the common name of the animal. This field is a drop down populated by the common name field of the animal caresheet section of this database. Select the common name from the drop down. This field is used to link and autopopulate the lower subform with information from the animal caresheet.
  • Morph – Type in if this animal is a morph of its’ species.
  • Enclosure – This is the enclosure which the animal lives. This is a drop down list populated from the enclosure record section of this database. Select the enclosure from the drop down list. This field is used to link this animal record to the enclosure record in which it lives.
  • Picture – This field allows you to include a picture of your animal within the record. Right click the field and select insert object.

 

The first subform is the log entries:

 

 

The first field is the entry date. This autopopulates when you start typing in the entry field. The entry field is used for you to type your notes on the animal.

 

The second subform is the information about the animal by common name. This populates by linking the common name in the field of this section, and the common name field in the animal caresheet section of this database. Do not type in this section

 

 

The fields are:

 

  • Scientific name – This is the animals scientific name.
  • Animal Type – This is the type of animal this is.
  • Environment – This is the environment the animal lives in.
  • Activity Period Type – This is the activity period of the animal.
  • Temperature – This is the temperature range the animal lives in.
  • Humidity – This is the humidity range the animal lives in.
  • Gestation Period – This is the period the animal gestates once gravid.
  • Location – This is the nearest city with weather information in the area the animal lives in.
  • Country – This is the country the animal is from.
  • Region – This is the region of the world the animal comes from.

 

Buttons at the top of this form:

 

  • Clutch Record – This will take you to the clutch record of the clutch number entered on this form.
  • Enclosures – This will take you to the enclosure record of the enclosure # entered on this form.
  • Print Summary – This will present you with a print preview of all the animals entered into the animal records section of this database.

  • Print Record – This will present you with a print view of the current record. To print, hit ctrl+p.

Enclosure Articles:

 

This section of the database is for keeping articles for building and maintaining enclosures.

To enter, click the enclosure articles button. You will first be presented with a list of enclosure articles.

 

 

To create a new record, click the empty line. To enter an existing record, click the line (i.e. Tropical Rainforest, Various, All, A Little Shoreline Vivarium), the record will open.

 

 

You will be presented with a handful of fields, a tabbed section, and another handful of fields.

 

The first set of fields are:

  • Subject – Type in a subject for the article. This is a primary key. No two records can have the same subject.
  • Animals – This is a drop down list populated by a master list. Select the type of animal you are keeping in the enclosure.
  • Location – This is a drop down list populated from the weather record section of this database. Select the nearest city to the location of environment you are duplicating.
  • Environment – This is a drop down list populated from a master list. Select the type of environment you are trying to duplicate.
  • Country – This is a drop down list populated from the weather record section of this database. Select the country of the environment you are duplicating.
  • Region – This is a drop down list populated from the weather record section of this database. Select the region of the world of the environment you are duplicating.

 

Tabbed Section:

 

Page1,2,3 – These are free text sections. Type in the information you need. As these are not standardized, they are not titled. Include the title of the “page” on the first line.

 

Bottom Fields:

 

The bottom fields include 6 picture fields and 6 text caption fields. To enter a picture into the larger fields, right click and select “insert object.” To type in text captions, click inside the smaller field below the picture, and type.

 

Buttons at top of form:

 

 

  • Enclosures – This will present you with a list of enclosures you have where the environment selected on this form matches the environment in the enclosure records.
  • Books – This will present you with the list of books in your library.
  • Plants – This will present you with a list of plant caresheets where the environment selected on this form matches the environment in the plant caresheet.
  • Water Plants – This will present you with a list of water plant caresheets where the environment selected on this form matches the environment in the water plant caresheet.
  • Animal Care Sheets – This will present you with a list of animal caresheet where the environment selected on this form matches the environment in the animal caresheet.

Enclosure Records:

 

This section of the database is used to keep the information on your enclosures.

 

Click the Enclosure Records button to enter. You will first be presented with a list of enclosure records.

You will be presented with a handful of fields, a tabbed section, a subform, and some fields at the bottom of the form.

 

The fields are:

 

Record # - This field autopopulates. Do not type in this field, it will populate upon filling out another field in this form. This number will be used to identify this enclosure through out the database.

Environment – This is a drop down list from a master list. Select the type of environment you are duplicating.

Country – This is a drop down list populating from the Weather Record section of this database. Select the country you are duplicating.

Description – Use this section to type a description of the enclosure.

 

The tabbed section contains:

 

Animals – This is where you select the animals you are keeping. These are drop downs that are populated from the Animal records section of the database. You will see the animal number and its’ name. To go to the particular animals record, double click the field. There is space for up to 40 animals.

Plants – This is where you select the type of plants in the enclosure. These are drop downs that are populated from the plant caresheet section of the database. You will see the plants caresheet record number and the common name. To go to a plants caresheet, double click the field. There is space for up to 40 plants.

Water Plants – This is where you select the type of water plants in the enclosure. These are drop downs that are populated from the water plant caresheet section of the database. You will see the water plants caresheet record number and the common name. To go to the plants caresheet, double click the field. There is space for up to 40 water plants.

 

The subform contains fields date. The date autopopulates upon typing in the notes field. Do not type in the date field. The notes section is for you to free text notes about the enclosure.

 

The fields at the bottom of the form are for keeping pictures of your enclosure or animals with the enclosure record, as well as text captions for each picture. To enter a picture, right click the larger field, and select “insert object.” To enter a caption, click the smaller field, and type.

  • Fish Caresheets – This will present you with a list of fish caresheets that match the environment type selected for the environment field in this form. Just click the line for the record you want.
  • Animal Caresheets – This will present you with a list of animal caresheets that match the environment type selected for the environment field in this form. Just click the line for the record you want.
  • Enclosure Articles – This will present you with a list of enclosure articles that match the environment type selected for the environment field in this form. Just click the line for the record you want.

Fish Care:

 

This section of the database is used for keeping caresheets on aquatic life, that you may use in a paldarium.

 

Click the Fish Care button to enter, You will first be presented with a list of fish caresheets.

 

 

To create a new record, click the empty line. To enter an existing record, click the line (i.e. test fish common name, test sci name, test fish location, crustation, Central American Coastal Stream, Fresh Water, 1-1-2001), the record will open.

 

 

You will be presented with a handful of fields, a tabbed section and a handful of fields at the bottom of the form. The top fields are:

  • Subject – This is the primary key for this sheet. There can not be 2 identical subjects within Fish Caresheets.
  • Common Name – Type in the common name of the aquatic lifeform.
  • Scientific Name – Type in the scientific name of the aquatic lifeform.
  • Location – Type in the location the aquatic lifeform is from.
  • Date – Type in the date the caresheet was created, or the date the information came from.
  • Animal Type – This is a drop down list that populates from a master list. Select the type of aquatic lifeform the animal is.
  • Environment – This is a drop down list that populates from a master list. Select the environment the lifeform is from.
  • Water Environment – This is a drop down list that populates from a master list. Select the water environment the lifeform is from.
  • Water Type – This is a drop down list that populates from a master list. Select the water type the lifeform lives in.
  • Region – This is a drop down list that populates from the weather records section of the database. Select the region the lifeform comes from.
  • Country – This is a drop down list that populates from the weather records section of the database. Select the country the lifeform comes from.
  • Friendliness – This is drop down list that populates from a master list. Select the friendliness of the lifeform.
  • Temperature – Type in the temperature requirements of the lifeform.
  • Gestation Period – Type in the gestation period of the lifeform.
  • Incubation Period – Type in the days of incubation the lifeform’s eggs require.
  • Incubation Temperature – Type in the temperature required for incubating the egg clutch.

  • Natural History – Type in the Natural History information for the lifeform.
  • Care – Type in the Care information for the lifeform.
  • Breeding – Type in the Breeding information for the lifeform.

The fields at the bottom of the form are to allow you to keep pictures and captions of the lifeform. The 6 larger fields are for pictures. To enter a picture, right click the field and select “insert picture.” To enter captions, type in the 6 smaller fields.

  • Water Plants – This will present you with a list of water plant caresheets in which the water environment selected in this form matches the water environment of the water plant care sheet. To enter a record, click the line.

Print – This will present you with a print preview of the current record.

Library:

 

This section of the database is used to keep track of what books you have in your library.

 

Click the library button to enter. You will first be presented with a list of books.

 

 

To create a new record, click the empty line. To enter an existing record, click the line (i.e. Test Common Name, Test Book Title, Test Book Author, Test ISBN, 01-01-2001), the record will open

 

 

You will be presented with a handful of fields. These fields are:

 

  • Title – Type in the title.
  • Author – Type in the author.
  • ISBN – Type in the ISBN number.
  • Date – Type in the publish date.
  • Subject – This section contains 4 fields. Select the subject from one of those fields, this is used to link this record to the rest of the database.
  • Description – Type in the description of the book.
  • Contents – Type in the table of contents of the book.

Print Complete List – This will present you with a print preview of your complete library. To print, hit ctrl+p.

Plant Care:

 

This section of the database is used to keep the information on the keeping of plants.

Click the plant care button to enter. You will first be presented with a list of plant caresheets.

 

 

To create a new record, click the empty line. To enter an existing record, click the line (i.e. Test Plant Common Nmae, Test Plant Scientific Name, Costa Rica, Tropical Rainforest, 1, Test Plant Light, Test Plant Temperature, Test Plant Demensions), the record will open.

 

 

You will be presented with a handful of fields. These fields are:

 

  • Common Name – Type in the plants’ common name.
  • Scientific Name – Type in the plants’ scientific name.
  • Environment – This is a drop down list populated from a master list. Select the plants environment.
  • Country – This is a drop down list populated from the weather record section of the database. Select the country the plant comes from.
  • Light – Type in the light requirements of the plant.
  • Temperature – Type in the temperature requirements of the plant.
  • Water – Type in the water requirements of the plant.
  • Demensions – Type in the dimensions of the plant
  • Fertilizer – Type in the fertilizer requirements of the plant.
  • Toxicity – Type in the toxicity of the plant.
  • Repotting – Type in the repotting requirements of the plant.
  • Picture – The large field to the right top of the form is used for storing a picture of the plant with the record. To enter, right click the field, and select “insert object.”
  • Record # - This field auto populates. It will fill in when you type in another field of this form. Do not type in this field.
  • Propagation – Type in propagation information of the plant.
  • Problems – Type in problem information of the plant.
  • Tips – Type in tip information for the plant.
  • Description – Type in the description of the plant.

Water Plants:

 

This section of the database is used to keep caresheets on the care of water plants.

 

Click the water plants button to enter. You will first be presented with a list of water plant records.

To enter an existing record, click the line (i.e. test water plant common name, test water plant sci name, test water plant origin, costa rica, central America Coastal Stream, Tropical Rainforest, Deadly, Test Water Plant area, Test Water Plant Light, Test Water Plant Temperature, 2), the record will open.

 

 

The fields you are presented with are:

  • Common Name – Type in the plants common name.
  • Scientific Name – Type in the plants scientific name.
  • Origin – Type in the plants origin.
  • Record # - This field will auto populate. Do not type in this field. This number will be used to link to this plant through out the database.
  • Country – This is a drop down list populated from the weather record section of this database. Select in the country the plant comes from.
  • Environments – This is a drop down list that populates from a master list. Select the type of environment the plant comes from.
  • Water Environments – This is a drop down list that populates from a master list. Select the type of water environment the plant comes from.
  • Growth Rate – Type in the plants growth rate.
  • Area – Type in the area the plant populates (i.e. front, ground cover, back, middle)
  • Light – Type in the light requirement of the plant.
  • Temperature – Type in the temperature requirements of the plant.
  • Propagation – Type in the propagation requirements of the plant.
  • Toxicity – Type in the plants toxicity.
  • Difficulty – Type in the difficulty of keeping the plant.
  • Description and Care – Type in a plant description and care information.
  • 3 Picture fields – you may include pictures of the water plants within these fields. Right click the field, and select “insert object.”

  • Print – This will present you with a preview of the print out of the current record. To Print, hit ctrl+p.

 

Weather Data:

 

This section of the database is used to keep the weather information from around the world. It has been populated already, with the exception of the calendar information (except Costa Rica as an example).

 

Click the Weather Data button to enter. You will first be presented with a list of weather records.

 

 

To create a new record, click the empty line. To enter an existing record, click the line (i.e. Central America, Costa Rica, San Jose 3760ft 1146m 9 56 N 84 8 W 8yrs), the record will open.

 

 

You will be presented with a handful of fields, and a picture of the world. The fields are:

 

  • Record # - This field autopopulates and assigns the entry a number once you start typing in another field of the form. Do not type in this field.
  • Country – Type in the country name.
  • Location – Type in the location of the weather data, format is city, altitude in feet, altitude in meters, latitude degrees, latitude minutes, longitude degrees, longitude minutes, years used for weather average.
  • Region – Type in the region of the world.
  • Hum @ - Type in the time the humidity measurements were taken. Most weather stations take it twice a day.
  • Hours of Day – Enter the hours of daylight for the location
  • Avg High F – Enter the average high temperature for the location.
  • Avg Low F – Enter the average low temperature for the location
  • Hum – enter the humidity at the given time for the location.
  • Days of Rain – enter the days of rain for the month at the location.
  • Additional Info – Enter any additional information in this field.
  • Map – You can keep a picture of a map of the country in this field. Right click and select “insert object.”

 

Buttons:

 

 

  • Weather Cal. – click any of the months to get a calendar for weather of the location for any month. To print the calendar, click print. You will be presented with a preview of the calendar, to print, hit ctrl+p. See Costa Rica for a suggestion on how to enter data into the calendar.
    • Time if you have timer that can be adjusted by minute increments\time if you have a timer that can be adjusted by half hour increments.
    • Average high temperature\averagle low temperature
    • Average humidity at time 1/ average humidity at time 2
    • Rain (day it rains)

 

 

  • Print Record- You will be presented with a preview of the print out of the current record. To print, press ctrl+p
